    This is where you will find the forms you need to coordinate the activities of Camp Royal at your Club's level.  Please note the timeline, as the dates are important milestones in getting everything ready for the campers in June.  If unsure, contact us and we'll make sure you're using the right forms...

  2011-12 Club Chair List -- Password will be needed to open.

  Camp Royal Refund Policy    
  Clubs who do not receive all allocations requested will receive a refund of the reservation fee paid.  
       
  Once Allocations are made (by January 31), a Club has until March 31st to provide the Committee with the name of a student (along with e-mail address and phone number).  The student named must register online by May 1st.  
   
   
       
  If the student named does not register by May 1st, we will take back the spot and attempt to "broker" it to a Club that wants more than their allocation, with the buying Club paying the selling Club directly and in full for the spot.  
   
   
       
  If a camper not yet registered decides to withdraw from participation prior to June 1st, the Club has until June 1st to name a replacement/alternate camper.  If none can be found and another Club does not want to purchase the spot, the fee will be refunded in full.  
   
   
       
  If a registered camper withdraws prior to June 1st, the Club has until June 1st to name a replacement/ alternate camper.  If none can be found and another Club does not want to purchase the spot, the fee will be refunded in full.  
   
   
 
  After June 1st, there are no refunds for any reason.  We will attempt to fill the vacant spot from an Interact Council member stand-by list so we maintain a full group.  
   
   
 
  IT IS IMPORTANT TO GET THE CAMPER AGREEMENT SIGNED BY THE CAMPER, THEIR  
  PARENT/GUARDIAN, AND YOU, AS SOON AS POSSIBLE --  IT CONTAINS A CLAUSE  
  WHEREBY THE PARENT GUARANTEES TO REIMBURSE THE CLUB FOR A NON-MEDICAL  
  WITHDRAWAL WITHIN THIRTY DAYS OF THE BEGINNING OF CAMP.  IF YOU DO NOT  
  SECURE THIS FORM AND YOUR STUDENT WITHDRAWS AFTER JUNE 1ST, YOU HAVE  
  NO RECOURSE AND WILL BE OUT THE FEE PAID FOR THE RESERVED/ALLOCATED SPOT.  
     
                           
  Forms -- Be sure to use the right form for the right job!    
  You will need the LATEST VERSION of Adobe Acrobat Reader installed on your computer to view and print Acrobat files. To obtain a free copy of Adobe Acrobat Reader, CLICK HERE to download and install the software. You will only have to do this once.   
   
   
     
  Club Chair Form   Use this form to INFORM the CR Committee About YOU!!!    
     
  Reservation Form   Use this form to RESERVE camper spots for the coming year    
       
  Application Form   Use this OPTIONAL form to SELECT campers at the Club level  
      Do not send this to the Camp Royal Committee - it is not used  
      at the District Level.  Use it (if desired) to select your students.  
         
      Note that Camp Royal conflicts with Boy's State dates.  Do   
      not select campers who will be applying to Boy's State.    
       
  Registration Form   Campers will be registering Online this year.  We will not    
        be using paper forms to gather Camper personal information.    
        CAMPERS MUST HAVE OR HAVE ACCESS TO A COMPUTER AND    
        AN E-MAIL ACCOUNT IN ORDER TO RECEIVE CAMP INFORMATION.  
        We will send them to http://camproyal2012.eventbrite.com  
        to register online.  Make sure they know your Club's name!    
           
  2012 Medical Form   This needs to be completed by the camper's physician and    
        in our hands by May 15, 2012.  The camper can't get on the    
        bus if we don't have it in hand.  SPORTS MEDICALS ARE    
        NOT ACCEPTABLE.     
  2012 Agreement   This needs to be completed and signed by the Camper,     
        Parent or Guardian and the Rotary Club Chair, then     
        returned to the Camp Royal Committee by April 1, 2012.

  Bus Schedule 2011   This is the 2011 Bus Schedule in PDF.  2012 will be about the same.    
      For the return trip times, read the route from the bottom up.     
      (Note that some routes are on 2 pages.)  Look for your Sponsoring  
      Rotary Club name for your stop's location.  
         
  2012 Allocations   This report will provide the allocation of camper spots made    
    in Jan. 2012.  Please stay true to your gender reservations.    
    Please have your camper information to us by March 31, 2012!  
       
  Campers by Club   This report provides the names we have received so far    
      and the status of their online reservation and required forms.      
      Again, you will need the password referenced above (Club Chair    
      List) to open this document due to non-published contact info.
